This manual provides you all the information to prepare your exhibition participation for WoTS 2022. During your preparation you can check the different topics as displayed in the table of content below.

FACILITY Services

Electricity & lighting

Standard stand construction (Type Basic)
Your standard stand includes an electricity connection and lighting (1 wall socket and 1 spot per 4 m2, LED 12 watts). Soon you will be able to order all the extras you want via the A-Booth web shop. If you have not received anything, please contact Yvonne Kaal.

Standard stand construction (Type Professional)
2 x pendant spotlight on an eye-catcher wall, recessed spotlights in coves along the back and/or side wall. You will receive an application form from Lasso Events on which you can indicate all your wishes. If you have not received anything, please contact Yvonne Kaal.

Free stand construction
Electricity and lighting are not included in free stand construction. You can order the electricity for the stand (during the exhibition week) in advance via the Jaarbeurs web shop.
The latest order date is Thursday, September 1, 2022. From Friday, September 2, the late surcharge of 25% will apply. The webshop will remain open until Thursday 15 September. You can still place orders at the Service & Information desk of the Jaarbeurs during the build-up days. These late orders must be paid on the spot and cannot be paid on account.

Internet & Telecom

You can order internet and telecom for your stand (during the exhibition week) in advance via the Jaarbeurs webshop. The Jaarbeurs and FHI have agreed that WoTS exhibitors will receive a 10% discount on internet/wifi orders. This discount has already been calculated in the prices stated in the webshop. In addition, the Jaarbeurs provides a free WiFi network for both exhibitors and visitors during the exhibition week. For all stand construction, you can order this via the webshop of the Jaarbeurs.

Order catering at the Jaarbeurs
Making ordinary moments special. Jaarbeurs brings people and markets together, hospitality makes the experience special. The Jaarbeurs sees it every year: exhibitors who treat them to a tasty snack and drink are well received by visitors. They come to you earlier and stay longer. You can choose a few tried and tested catering concepts or a tailor-made approach. The Jaarbeurs is happy to unburden you! This includes fully catered stand catering, breakfast sessions, lunches, drinks, parties and dinners, provided by hostess.

The Jaarbeurs can provide a wide range of extras for your stand. Whether it’s a special bar, a Piaggio, live cooking, cocktails or real culinary entertainment, everything is possible. The Jaarbeurs would like to think along with you about the design of your stand and how you can draw more attention to it by means of extra specials. 

You can also use the services of Deli Delivery during the fair. By means of a QR code, you can place your orders with a simple registration during the fair. The orders, which you can pay directly via IDEAL, are then delivered to your stand.

STAND DESIGN

Standard stand construction – Complete stands
Standard stand constructions can be requested at attractive rates via the organization. We offer complete participation packages for this edition of World of Technology & Science. In cooperation with our stand builder, the organization offers two standard stand variants. There are various options for furnishing the stands. If you choose professional stand building, you will receive the information about the options from our stand builder, when you registered as an exhibitor.

Free stand construction
The free stand construction is without a standard stand construction. The exhibitor carries out their stand construction themselves. The prices for free stand construction do not include the costs for the visitor registration system.

Furniture

Standard stand construction
Information about  which furniture options you can order for the standard stand construction at the same time you register as an exhibitor.

Professional stand construction
When you registered as an exhibitor, you will receive information about the different options from our stand builder Lasso Events.

Free stand construction
You can order furniture, kitchen furnishings and other stand furnishing articles in advance via the webshop of the Jaarbeurs.

Decoration

You can order (green) decoration in advance via the webshop of the Jaarbeurs

HANGING WIRES, COLUMNS AND FLOOR

Floor (load and platforms) and floor covering (carpet tiles)

Carpeting
Floor coverings must not be applied to the floor in an adhesive or nail-resistant manner.
You can order floor covering and carpet tiles in advance via the webshop of the Jaarbeurs (this regards only free stand building).

Floor burdening
The maximum permissible load on the floors of the building is approximately 2,500 kg / m². The floors of the halls are finished with a monolith finished concrete floor.

Point load is not allowed; the forces must always be spread.

When entering the hall with a vehicle, please avoid the wells. It is not possible to dig or drill in the floor of the Jaarbeurs complex.

Heightened floor/decking
The use of a raised floor/deck is recommended at stands with water and gas pipes and/or a lot of electrical wiring; the stand builder can advise you on this. When using a raised floor/deck in the stand, the following must be taken into account:
– maximum height 10 cm, measured from the floor of the building up to and including the top of the platform;
– the sides must be closed and neatly finished;
– they must be laid within the building lines of the stand;
– the height of the walls, incl. the raised floor/decking, must be 3.00 m.

Participants who equip their stand with a raised floor are requested to take into account the accessibility of their presentation for the disabled by, for example, the use of beveled sides or making driveways (which must then be sufficiently wide and have no sharp edges), preferably recognizable for these visitors.

Hanging wires

In most parts of the building it is possible to hang stand components on the roof. Dispensation for hanging stand components can be granted up to a maximum height of 6 meters (if the height of the hall makes this possible). For every stand that uses this, we would like to receive a dispensation request, no later than six weeks before the construction period.

You can order hanging supports in advance via the webshop of the Jaarbeurs. The suspension wires are provided by Mansveld. Mansveld is the only one designated to carry out this work for WoTS 2022.

Columns (obstacles) in halls

There are columns in some halls of the building. There is a chance that you have such a column in your stand. The columns (obstacles) are accurately indicated on the floorplan which the organization will sent to you. A separate sketch is referred to for the dimensions of the obstacle in question. The accessibility/signing of fire reels on columns must be guaranteed for fire regulations. In case you can trim these columns and include them as such in your stand design.

The costs associated with replacement or repair of any damage or contamination found by Jaarbeurs Utrecht will be charged to the exhibitor.

IT RENTAL

Rental of IT and multimedia equipment

Within the Jaarbeurs complex it has recently become possible to draw attention to your brand, stand or product(s) with digital advertising via large-scale video screens. The video screens are positioned at busy locations in the central axis and at the entrances to achieve as much visibility as possible among the desired target group. Service passes
You and possibly your suppliers use a service pass during the construction and dismantling. You will receive these passes by mail.

Download here the pdf with information about parking, loading and unloading during the construction and dismantling days of WoTS 2022. Traffic around the Venue Jaarbeurs is supervised by DB SCHENKER. DB SCHENKER uses a timeslot system that ensures smooth trafficflows. Registered exhibitors will receive this information by mail.

 

ONLINE AND OFFLINE PROMOTION

Your company profile on the website WoTS.nl

After your registration has been confirmed, your organization will be listed on our website in the exhibitor overview. This listing automatically links to your personal exhibitor page. By default, this page consists of an entry of your organization name. However, you can fill your profile with company information, a link to the website and social media and possibly images or a video.

Post news on the website WoTS.nl

News items are displayed on the main page of WoTS.nl. Do you have a news item about which you want to inform the visitor, make use of this option! Every registered exhibitor can post news. Registered exhibitors will receive an email stating how to log in.

Your logo on WoTS.nl
Exhibitors of World of Technology & Science can further promote their participation in the fair by placing a rotating banner (see bottom of this page) with a link to your site. Costs for this are €350. You can submit your logo (600 x 200) by e-mail to info@wots.nl, stating the rotating banner.

Floor plan

Every registered exhibitor and company listing will be listed as standard on the online floor plan.  

If you would like to advertise on the map distributed to visitors during the exhibition days, you can contact E-Totaal directly, contact person is Martin de Boer.

We publish a trade fair special per world in which you can advertise as well. If you are interested, please contact the publishers of the magazines directly. 

MARKETING COMMUNICATION CUP

What is the Marketing Communication Cup?

Exhibitors who attract two hundred visitors or more have a chance of winning the Marketing Communication Cup and with that a discount of up to 60% on the participation costs of WoTS 2024.

To win

All exhibitors can participate in this cup. The winner is the exhibitor who welcomes the most visitors. To keep it fair, the number of visitors is corrected based on the number of m2.

By using the visitor registration link, exhibitors can get a discount on the participation rate for the next edition of World of Technology & Science.

Unique visitor registration link

The exhibition organization offers every exhibitor its own unique visitor registration link. With this link, exhibitors can easily invite their relations for a free visit to the exhibition.

Exhibitors who attract two hundred visitors or more have a chance of winning the Marketing Communication Cup.

This main prices will be divided between three winners.

In addition to a nice cup, the winner receives a 60% discount, the number two receives a 30% discount and the number three wins a 10% discount on the WoTS 2024 rates.

Measuring for the main prize is based on the total number of visitors that actually visited the exhibition

In addition, every participant (with the exception of the three winners) who has more than a hundred visitors, receives a nice box of wine.

Registration

Exhibitors will receive an e-mail with a personal registration link and code. Every visitor who enters your code or registers via your personal link counts for the Marketing Communication Cup. Employees within your own organization do not count.

Exhibitors will receive the link later in 2022. If you have not received this, please contact us.

FHI, FEDA and Machevo reserve the right to exclude exhibitors from participation, without stating reasons, in particular if they do not meet the conditions for participation.

FHI, FEDA and Machevo are not liable if an exhibitor is excluded from participation for any reason.

MEDIA PARTNERS

List of media partners

For WoTS 2022 we work with a number of media partners. By editorial columns, advertisements, banners, and advertorials, the exhibition, exhibition projects and seminars are brought to the attention of a wide audience. If you are also interested in  cooperating with these media partners, you can contact them.

Official exhibition magazines

An exhibition magazine is published per world. These magazines contain information about the exhibition such as the floor plan and an exhibitor list, an overview of the conference program, interviews with speakers, descriptions of the projects and an overview of the novelties.

The official exhibition magazine is handed out to visitors at the entrance of WoTS 2022. These magazines are also sent 3 weeks prior to the exhibition along with specific publications to the subscribers of certain trade magazine. The official exhibition magazines are as follows:

Official floor plan

NHU Media publishers produce and publish the official floor plan. This floor plan is handed out to the visitors at the entrance to the exhibition. The map is foldable and handy.

ON THE EXHIBITION FLOOR

Visitor registration

Every visitor receives a badge at the entrance with a scannable code. The QR-code contains the information of each visitor. When participating in WoTS 2022, a visitor registration system is included in the participation fee.

The registration system is provided by Marvel.  Marvel offers 3 different visitor registration systems for scanning the visitor badge. You will receive more information of us later in 2022.

Register stand personnel

To register your staff and to view the results of the unique registration link, you can log in here. We advise you to register your staff before the start of the exhibition. You will receive this data by mail in March.

After your registration has been confirmed, your organization will receive a mention on our website in the exhibitor overview. This listing automatically links to your personal exhibitor page. Every registered exhibitor is given a standard name on the physical floor plan which is distributed at the entrances on the exhibition floor.

Damage to the Jaarbeurs Complex

The costs associated with replacement or repair of any damage or contamination found by Jaarbeurs Utrecht will be charged by Jaarbeurs Utrecht to the exhibitor.

Stand construction and type

Separate rules apply for each stand type, which are indicated below. The exhibitor must consult the organizer beforehand whether the rules can be deviated from.

Island stands

Island stands are bounded on all sides by aisles. The maximum building height, including any raised floor, is 3 m. Requests for exemptions must be submitted to the organization at the same time as the stand design (info@wots.nl).

Headstands

Head stands are on aisles on three sides; a rear wall must be placed. The maximum building height, including any raised floor, is 3 m. Requests for exemptions must be submitted to the organization at the same time as the stand design (info@wots.nl).

Corner stands

Corner stands are on aisles on two sides. A rear wall and a side wall must be placed. The maximum building height, including any raised floor, is 3 m. Requests for exemptions must be submitted to the organization at the same time as the stand design (info@wots.nl).

Stand inline

Stands are lined up on one side of an aisle. A rear wall and two side walls must be placed here. The maximum building height, including any raised floor, is 3 m. Requests for exemptions from this must be submitted to the organization at the same time as the stand design (info@wots.nl).
