FHI pavilion participation at the VSK trade fair

1. Registration and confirmation
1.1 Participation in the FHI pavilion is open to both members and non-members of FHI.
1.2 Participation is only possible via the official FHI registration form.
1.3 The registration is binding after written confirmation by FHI.
1.4 Entries will be accepted on a first-come, first-served basis until the maximum number of participants is reached.
2. Participation costs and payment
2.1 The participation fee is determined by FHI. FHI members pay a reduced rate; non-members pay the regular rate.
2.2 After registration, the participant will receive an invoice from FHI. Payment must be made within 30 days of the invoice date, unless otherwise stated on the invoice.
2.3 In the event of late payment, FHI reserves the right to unilaterally cancel participation.
3. Cancellation by participant
3.1 Cancellation of participation is only possible in writing (by e-mail or registered mail).
3.2 The cancellation costs are as follows:
- Up to 547 days (1.5 years) before the start of the fair: 25% of the participation fee;
- From 547 to 365 days (1 year): 50%;
- From 365 to 182 days (6 months): 75%;
- Within 182 days before the start of the fair: 100%.
3.3 “Start of the fair” means the first day on which the pavilion can be set up.
3.4 FHI reserves the right to charge additional costs for costs already incurred (such as for collective facilities or stand designs).
3.5 Cancellation does not entitle you to a refund or compensation.
4. Cancellation and changes by FHI
4.1 FHI reserves the right to cancel or modify the pavilion in the event of insufficient participants or force majeure.
4.2 In the event of cancellation by FHI, paid participation fees will be refunded, unless costs have already been incurred for the participant.
4.3 FHI is not liable for any damage resulting from cancellation or modification of the pavilion.
4.4 Reference to Jaarbeurs: In cases of cancellation or changes to the event, FHI may apply the provisions of the Jaarbeurs Terms and Conditions. See Article 6 of the Jaarbeurs Terms and Conditions for the complete cancellation and change policy.
5. Liability and obligations
5.1 Participation is at your own risk. FHI is not liable for any damages or costs arising from the participant's participation in the VSK trade fair, unless there is intent or gross negligence on the part of FHI.
5.2 The Participant is responsible for complying with the trade fair regulations and insurance for damage, loss or theft of goods.
6. Use company data and communications
6.1 Participants agree to the inclusion of their company name and logo in FHI communications relating to the pavilion.
7. Rules of Conduct
7.1 The participant must use the allocated exhibition space properly and exclusively for the purpose for which it has been allocated.
7.2 Distributing materials (flyers, brochures) outside the allocated stand space is not permitted.
7.3 The participant is obliged to adhere to all guidelines and rules of conduct that FHI and the Jaarbeurs establish for the trade fair.
8. Applicability of stock exchange conditions
8.1 The participant is considered a co-exhibitor by Jaarbeurs and is bound by the general terms and conditions of Jaarbeurs for co-exhibitors, including the accommodation regulations and other applicable regulations.
9. Other Provisions
9.1 By registering, participants agree to these terms and conditions.
9.2 In cases not provided for in these terms and conditions, FHI will decide.
9.3 These terms and conditions are governed by Dutch law.
