Reserve a time slot

For loading and unloading stand materials you need a time slot To book, you must first create an account. To do so, click the Sign Up button in the top right corner.

When reserving your time slot, please take into account the nearest door number for loading and unloading. View the map herePlease note: without a pre-booked time slot it is not possible to enter the loading and unloading zones of the Jaarbeurs. So book this in advance!

With small transport <2.70 meters high (cars, buses, vans, trailers) you can already enter the site during the dismantling on Friday between 3.30 pm and 5.30 pm without a time slot (with exhibitor badge).

You can reserve a time slot starting one month before the installation. The exact date will follow!

Access badge
You do not need an access badge for assembly and disassembly.

Dismantling
After the closing of the exhibition (15:30), the dismantling begins. Between 15:30 and 17:30, the loading and unloading zone and the halls are only accessible upon presentation of an exhibitor badge. During this time, you may enter the site with small transport upon presentation of your exhibitor badge. From 17:30, the transport doors open and you can enter the site with small and large transport with a time slot.

Exhibitor badge

Starting Tuesday, September 22nd at 8:00 AM, you can have your exhibitor badge printed at one of the registration desks near the entrance to Halls 8, 9, or 10 upon presentation of your registration certificate. Please register your stand staff in advance via the FHI Events app.
NB! Everyone only collects his/her personal exhibitor badge.

Safety and flow (Yellow Lanes)

For safety and flow during the set-up and dismantling, yellow lanes have been placed. These are the aisles that must remain free during the set-up and dismantling. Please note that you do not place any goods or transport crates in these aisles.

Need a forklift?
The use of your own forklifts is not permitted in the exhibition halls. If you need a forklift to transport goods to your stand, please contact DSV via fairs.utrecht@dvs.com.

Drop & Go Service

Would you like to bring some boxes and other small items to your stand during the last day of setup or the morning before the show opens? You can drop off your stand materials at one of the transport doors on Mondays between 7:00 AM and 6:00 PM and Tuesdays between 8:00 AM and 9:00 AM. Please ensure a colleague is waiting to receive the materials. After unloading, please drive off the premises immediately. On Tuesdays, you will need an exhibitor badge to enter the hall. You do not need to reserve a time slot for the Drop & Go zone.

Please note: You need a ticket to access the Drop & Go zone. You can download these from this page from March 18th.

Waste

During the set-up and take-down periods, exhibitors/stand builders are expected to take care of their own waste disposal. Either physically remove the waste and dispose of it outside the Jaarbeurs exhibition center, or rent a container through the Jaarbeurs webshop. The rented container will be delivered and collected from the stand by appointment to ensure proper waste disposal. Other waste management companies—except those contracted by Jaarbeurs—are not permitted on the Jaarbeurs complex. This will be monitored during these days.

Logistics partner

DSV is the official logistics partner of the World of Technology & Science 2026 (WoTS) at the Jaarbeurs Utrecht and provides all logistics services during construction, exhibition and dismantling.

To ensure safety, only DSV employees are permitted to operate motorized lifting and transport equipment (forklifts, EPTs, aerial work platforms, etc.) in the halls and on the outdoor areas.

We offer, among other things:
• Transport of goods from your warehouse to the Jaarbeurs
• Unloading, loading, moving and delivery of goods in the Jaarbeurs
• Handling of smaller shipments (UPS, FedEx, PostNL, etc.)

Storage

DSV is the official logistics partner of the Jaarbeurs trade fair. They provide transport, storage, and rental of various equipment such as pallet jacks, forklifts, etc. Large equipment can be stored at DSV for a fee. Interested in this service? Contact DSV at fairs.utrecht@dvs.com.\

During the trade fair, you can also store your empty boxes and booth materials in the hall. The exact location within the hall is still being determined. This is an unattended service; please do not store valuables here.

Accessibility and parking

With a view to sustainability and congestion on the road, we would like to advise you to carpool with colleagues as much as possible or to use public transport.

You can order parking tickets in advance in the Jaarbeurs webshop. You can order a parking ticket per day. More information can be found in the webshop or at the website of the Jaarbeurs.
